Policies

Service Policies

  • Sampson's Hollow LLC is located in a residential community. While our property is very private and secluded, there are homes and other businesses in the neighborhood. Noise levels, including music and sound must comply with the "good neighbor" policy and may be regulated by members of our staff if deemed in noncompliance of the policy.
  • A choice of which style of table to be used must be made by the guest within thirty days of the event. Guests will need to specify on-site location for wedding and/or reception and preferred arrangement of tables and chairs thirty days prior to the event. Additional chairs and tables can be provided at a minimal charge.
  • Table linens are not supplied and are the responsibility of the guest.
  • Representatives of Sampson's Hollow LLC will provide valet parking during the time of the event. Handicapped parking is provided.
  • Clean up of the facility is the responsibility of the client. Sampson's Hollow LLC will provide trashcans, trash bags, and will dispose of bagged trash.
  • The bridal party has their choice of dressing in the upstairs loft of the barn or in the one-bedroom cabin at the edge of the woods (if purchased as part of package). Additional restroom facilities are available in the barn. The use of the loft is restricted only to the time of the actual event, including weekend packages.
  • A property manager or member of our staff will be on site during the event.
  • In order to maintain the rural and primitive appeal of the property, bridal parties and their guests may use wildflower seeds or bubbles to "send off" the wedding couple. Depending on use and season of year, sparklers may be permitted with prior approval of property manager.
  • Bridal parties are required to have a designated wedding coordinator who will communicate directly with our event and facility coordinator. The director or coordinator must make arrangements with our staff for a consultation a minimum of seven days prior to the event.
  • Sampson's Hollow LLC and members of the family-based enterprise, are not responsible/liable for any damages, loss of property, injury and personal accident that might incur by our clients and their guests while using any aspect of our property—including the areas of the farm that are not intended for general use by the public.
  • Sampson's Hollow LLC and members of the family-based enterprise will not be responsible for any type of inclimate weather, any act of nature, outdoor sounds (i.e., cows mooing, dogs barking), natural occurrences (flooding), or any other type of natural disaster that might occur prior to or during a scheduled event.

Contractual Policies and Procedures:

  • Sampson's Hollow will not require guests to choose from the recommended list of vendors. However, guests are required to submit a list of the vendors that will be used for the event a minimum of two weeks prior to the event. Business vendors who will be supplying services on the property are required to provide proof of liability insurance prior to the event.
  • When booking for a single day/evening event, including Sunday afternoon events, clients and their vendors must use the contracted times for set-up and assembly. Rehearsal times may not be available on the afternoon/evening prior to the day of the event. In order to assure that the afternoon/evening prior to the event is available, it is recommended that the guest reserve additional time or book a two-night package.
  • If the event is a wedding, the guest must designate an event coordinator who will work directly with a member of our staff. It is not the responsibility of Sampson's Hollow to coordinate the event. A wedding coordinator can be provided at an additional fee.
    • Children are welcomed at any of our events. For their safety, unsupervised children are not allowed to explore the woodland area of our property. Nature trails are provided through the woods and may be used at the personal risk and liability of the guests. It is wildlife woodland and as such, there are creatures and critters that have homes in these woods. Sampson's Hollow is not responsible for any injury that might occur while hiking or exploring on the nature trails.
    • Caterers may use the facilities within our food service area. All equipment and utensils must be properly cleaned and put away prior to the end of the event. Trash must be picked up and bagged. Members of our staff will dispose of bagged trash at no additional charge.
    • The average capacity within the barn, including the covered front porch and parlor area is approximately 75 – 150 depending on use of space and allocation of seating. The front yard can be used to seat additional guests. Tents may be used and can be arranged with a local rental company. Additional tables and chairs may be reserved at an additional charge to guest.
    • Sampson's Hollow can arrange for the use of a horse and carriage, as per personal preference of the guest. The price for this service will depend on the type of carriage, number of horses, and amount of time requested. Due to the popularity of this service, guests are encouraged to book as early as possible.
    • Any damages that require repairs to the property or any facility there upon will be the responsibility of the guest to pay to Sampson's Hollow. Decorations must be approved prior to the event. Any use of sparklers, candles, or lanterns must also be approved prior to the event.
  • A 50% non-refundable deposit is due at the time of booking your event with balance due thirty days prior to the day of the event.
